We are looking for an Administrative Assistant to join the Benefits Administration Team.

 

The Benefits Administration Solutions (BAS) team offers online enrollment tools, support for GroupNet Flex administration, and Benefits outsourcing services for our clients. The BAS team manages all activities relating to the administration of benefits plans on our GroupNet and flexible plan platforms; including establishing plan details and supporting our customers using our systems. 

 

Responsibilities:

 

  • Responsible for sorting and distributing incoming and outgoing mail for the department
  • Ensure office supplies are properly stocked and order when appropriate
  • Coordinate necessary maintenance and support for departmental copiers and other office equipment
  • Produce documentation using office equipment such as booklets, presentations, etc.
  • Create and distribute departmental reporting
  • Set up and coordination of office tools such as WebEx accounts and conferencing lines
  • Process invoices following internal accounts payable procedures, systems and guidelines
  • Responsible for reception duties as required such as receiving visitors, signing for deliveries etc.
  • Coordinates and makes arrangements for meetings and events including equipment and travel.
  • Assist with developing and updating of Power Point presentations, Excel spreadsheets and other documents as needed
  • Ensures confidentiality of any/all  information, particularly highly sensitive information, such as personal information
  • Prepares and manages expense reconciliation and submission

  • Ability to work independently with moderate supervision
  • Able to prioritize, focus and balance multiple priorities at all times.  Can assess situations, make decisions, and get things done
  • Comfort with Microsoft office tools like WORD and EXCEL.
  • Bilingualism is an asset (fluent in French and English) but is required for Quebec only as the position will regularly serve our clients with French and English-speaking needs. 
  • Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment. This is a personal security status that is required as a condition of employment before an employee can gain access to Protected B information, assets or work sites as outlined by the Government of Canada  website.  The cost of submitting these checks will be covered by Canada Life.

The base salary for this position is between $34,900 - $47,200 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
