The primary role of our executive office is corporate decision making and business strategies. We are currently seeking an Executive Assistant to provide administrative support to members of this team from an administrative perspective.

 

What you will do

 

  • Provide administrative support to senior leaders as determined, providing management of calendar management and expense payment processes

  • Coordinate senior leadership activities through the booking of appointments, meetings, travel arrangements and conference calls

  • Coordinate and organize meetings and conferences in virtual, onsite and hybrid work scenarios including booking meeting rooms/venues and organizing catering requirements

  • Coordinate local team events related to celebrations, team building and milestone events

  • Organize the distribution of meeting agendas, minutes and meeting materials for management meetings

  • Prepare correspondences including letters and email and proofreading and editing documents

  • Prepare presentations and reports related to business activities

  • Participate in and complete special projects independently or in collaboration with team members based on goals determined in partnership with direct leader

  • Ensure prompt turnaround and accuracy on queries from senior leadership team

  • Independently research, prioritize and follow up on multiple incoming issues and concerns addressed to the executives, including sensitive and /or confidential matters; determine appropriate course of action, referral, and/or responses

  • Ability to anticipate upcoming needs of senior leaders you are supporting and plan as needed

  • Ability to think critically and use sound judgment

  • Goal oriented at an individual and team level

  • Ability to maintain confidentiality at all times

  • Minimum 5-7 years’ experience within the Financial Industry at the administrative level

  • Undergraduate degree in Business

  • Experience working within the financial industry

  • Proficient in the Microsoft Office suite of products

  • Effective time management skills

The base salary for this position is between  $48,600 - $ 72,900 annually.  This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).  If you are selected to move forward in our recruitment process, your recruiter will be able to discuss additional details of our total rewards program with you.
