The Data Integrity team is responsible for the FundSERV transactions & settlement files on a daily and monthly basis. This team is also responsible for Advisor code changes, interacting with the Advisor Compensation and Support Services and Transitions teams to ensure both IPC and Fund companies’ book of record is aligned.

 

The primary role of this position is to maintain mutual and segregated fund data within the company’s Univeris database. To identify anomalies and implement solutions to ensure data is accurate and up to date. To provide support to internal clients with the import of daily/weekly/monthly FundSERV ESG files and be an escalation point when complex Data Integrity issues arise. The team educates Advisors and Head Office in effective use of available systems for placing trades, payments, and settlements. The Advisor Support Associate liaises with other internal departments to work towards the delivery of improved service and elimination of redundancies between departments.

 

What you will do

 

File Import and exception handling of daily/monthly file imports

           

•    File Importing of daily/weekly/monthly FundSERV ESG files
•    Review and handle exceptions identified from the daily import in Univeris to ensure accurate and ‘clean’ data is imported to the company’s Univeris database
•    Identify and correct any discrepancies in the file import log files.
•    Report and follow up on any inconsistencies or trends identified.
•    Maintain monthly supplier TS/WS/LS/PS/NS file import report log.

 

Univeris Data Integrity Issues

                           

•    Effectively communicate with advisors and Fund Companies regarding any data integrity issues via phone or e-mail.
•    Resolve advisor enquiries within a timely manner.

 


Account Reconciliation and Miscellaneous Projects  

         

•    Preparation and precise completion of the Account Reconciliation process on or before the 6th of each month.
•    Participation and on time delivery of various data cleanup projects and tasks paying strict attention to detail in the process.
•    Update and maintenance of procedure manuals and training documents in a timely manner
•    Participate in team meetings, weekly huddles, organized team events as well as Inter departmental meetings and projects
•    Keep abreast of industry updates (internal debriefs, compliance communications, participation in vendor webinars
•    Participate in semi annual and ad hoc Univeris testing
•    Review and update procedure manuals as required

 

N$M & A$M Settlements, Wire/EFT Payments & Reconciliation  

         

•    Balance all contracted trades for which payment is to be made via N$M & A$M (including LOI Invoices and Cheque Requests)
•    Balance and send all N$M & A$M payments to FundSERV with a $0.00 variance within specified deadlines, no exceptions

 

Cheque Requests, NSFs, Letters of Indemnity & EFTs    

 

•    Review and save DDR’s received from IPC MFDA branches.
•    Contact advisors or assistants for clarification or missing information where necessary.
•    Handle notifications from Fund Companies regarding NIGO (not in good order) trades (Financial and Non-Financial) via Fax, MessageSERV and email.

 

Additional tasks    

                            

•    Receive, authorize and complete all incoming requests for signature guarantee appointments
•    Review and handle all incoming MFDA Operations Mail including Client Held Transfers, Advisor Notifications.
•    Respond and provide required Audit information within set timelines.
•    Review and update procedure manuals as required
•    Participate in team meetings, weekly huddles, organized team events as well as Inter departmental meetings and projects
•    Keep abreast of industry updates (internal debriefs, compliance communications, participation in vendor webinars
•    Participate in semi annual and ad hoc Univeris testing

 

What you will bring

 

•    Possess a minimum of 2 years' experience within a corporate environment, financial Industry experience is an asset. 
•    College or University Financial Business studies preferred
•    Completion of CSC/IFIC is an asset
•    Knowledge of relevant MFDA back-office software solutions is an asset
•    Financial industry experience is a definite asset as the incumbent will be communicating with IPC internal and external parties.
•    Able to communicate clearly both in person and over the phone. Must be able to effectively communicate explanations and solutions and can ask probing questions to determine the nature of the issue.
•    Strong time management skills with an ability to manage multiple tasks simultaneously
•    Ability to manage responsibilities effectively and meet required deadlines. Ability to provide information/reporting in a timely manner that is usable to others who need to act on it. 
•    Must be extremely proficient at using the Microsoft Office suite of products, mainly MS Word and Excel

The base salary for this position is between  $49,200 - $ 73,700 annually.  This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).  If you are selected to move forward in our recruitment process, your recruiter will be able to discuss additional details of our total rewards program with you.
