Litigation Assistant

Reporting to the Associate Manager, Litigation Operations, you will provide administrative and practice support to the Litigation Team. Applying your education, experience, and business knowledge, you will build strong working relationships, interact with legal team members across our Canadian jurisdictions, and add value by providing efficient, timely and organized support.
The successful candidate takes initiative, has excellent communication skills, exceptional organization skills, the ability to work independently, and collaborates professionally and respectfully with others.
What you will do:
- Work in partnership with a team of litigation lawyers, senior law clerks, law clerks and legal assistants to maintain an effective in-house practice
- Prepare, draft and proofread correspondence, pleadings, court documents, and other documents
- Assist in compiling, serving and filing pleadings and other legal documents
- Maintain a diary system, manage calendars, schedule and coordinate meetings
- Schedule Court dates, mediations, independent medical examinations, surveillance, and other investigations
- Review and triage incoming legal documentation and ensure relevant documents are properly stored in the Document Management System (M-Files), and are named and classified in accordance with Litigation practice guidelines
- Open, organize, and maintain new files by entering all relevant data in Law Department’s matter management system (eCounsel)
- Other administrative duties as required, e.g. reporting, processing invoices
What you will bring:
- Legal Assistant Diploma or a combination of education and experience
- Minimum 2 years’ experience in a legal administrative role
- Superior communication skills, both written and verbal to varying audiences, including proofreading with keen attention to detail
- Knowledge of legal and court documents and procedures across Canada, preferred
- Team player with well-developed organizational and time management skills
- Motivated self-starter with ability to work independently and productively as part of a team while managing competing priorities to deliver business results
- Strong technical skills in MS Word, Excel, Outlook, Adobe Pro, matter management and document management software (M-Files, Relativity)
- Excellent interpersonal and client services skills; professional and positive demeanour
- Experience working with highly sensitive and confidential information as part of daily duties
- Able to work in-office 3 days per week
