The Operations Coordinator role is to be the main point of contact for our clients and teams, embodying our dedication to exceptional client service. With a friendly demeanor, excellent organizational skills, and keen attention to detail, your primary responsibility will be to warmly greet and assist clients as they enter our offices, ensuring they feel valued and comfortable. You will manage all incoming calls to the corporate branches, skillfully directing them to the appropriate teams while providing a courteous and welcoming experience over the phone. Your responsibilities go beyond traditional reception duties, as you play a key role in fostering positive client relationships, shaping their first impressions, and setting the tone for their entire journey with us.
Additionally, you will be an integral part of our client communication strategy, ensuring the consistent delivery of communication plans on behalf of our advisory teams to keep clients informed about current events and industry updates. By assisting our teams, you enable them to focus on planning and transactional activities, making you a crucial extension of our advisory team.
What you will do
- Meet and greet all clients in a kind, courteous and professional manner as they enter the building creating a warm and inviting experience
- Ensure reception area and office is tidy and presentable, with all necessary stationery and materials
- Delivering consistent and outstanding service through a friendly attitude, attentive behavior and strong corporate knowledge
- On-site duties include receiving and sorting mail, handling faxes, receiving client drop-offs, coordinating deliveries to the appropriate team members and making bank deposits.
- Manage all incoming calls to the corporate branches, screening and transferring to the appropriate teams
- Respond to client inquiries via telephone, email, and in person in a professional and courteous manner
- Organizing catering and equipment for meetings and special events in the branch
- Ensure client meeting rooms are cleaned and tidied for the next group
- Maintain confidentiality and discretion while dealing with clients and their information
- Distribute client communications for annual administrative activities and coordination of wow gift program
- Share best practices and support the setup, maintenance and training on telephony systems
- Assist with SharePoint site management
- Execute all administrative tasks to the highest quality standards
- Support branch team as a client experience specialist backup to cover core responsibilities
- Ad-hoc duties and projects as required
What you will bring
- Minimum 2 years of experience in a receptionist/customer service role, preferably in a Financial Services firm but not required.
- Post-secondary education degree in business, commerce, economics or related discipline is an asset
- A genuine interest or aspiration in developing professionally within the Financial Services industry and willingness to complete industry-related courses.
- Ability to foster and maintain excellent relationships with clients, advisors, branch team, IPC Head Office team and other key stakeholders.
- Excellent client service skills to anticipate client needs and follow up in a timely manner.
- Flexibility to multi-task, prioritize and should be comfortable working in a fast-paced environment.
- Ability to be resourceful and proactive when issues arise
- Intermediate knowledge of MS Office and CRM systems.
- Ability to work from the office environment

The base salary for this position is between $37,000 - $ 50,100 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
